Terms & Conditions

We understand that unforeseen circumstances may arise whereby you may need to make a change to or cancel your booking. It is our goal to work with our clients to help minimize any losses to yourself, us and other partners that we may work with, that result from changes to your bookings.
For this reason we encourage you to clarify the details of your booking with all members of your group prior to finalizing it with us.
Upon finalizing a booking with Timber Trail Adventures Ltd, whether online, in writing or verbally you acknowledge that you have read Timber Trail Adventures Ltd. terms and conditions and you understand and accept them in their entirety.

Bookings
Online bookings require full payment at time of booking.
In-person bookings, made within 30 days of arrival, require full payment at time of booking.
In-person bookings, made 30 days or more prior to arrival, require a 50% deposit within 7 days of booking and balance of payment up to 30 days prior to arrival date. If deposit is not made within 7 days the booking will lapse. If the balance of payment is not made before 30 days the booking will lapse and cancellation fees applied to the booking deposit.
For in-person bookings, all arrangements, alterations and payments are to be made by a single contact person per group.

Extra Charges
Full payment is required on departure from the lodge for any bar or other extra services incurred (includes accommodation, bar, add-on services, shuttles, bike hire etc.)
Outstanding charges will deducted against held credit cards where we hold those details.

Cancellations
• Cancellation within 2 days of arrival date: 100% forfeit of the total booking price.
• Cancellation within 10 days of arrival date: 100% forfeit of the total booking price.
• Cancellation within 29 days of arrival date: 25% forfeit of the total booking price.
• Cancellation within 60 days of arrival date: NZD 150 forfeit.

Transfers
All bookings may be transferred to another date so long as that date is within 12 months of initial booking. In case of a booking transfer there is an amendment fee and subject to new rates if applicable..
• Transfer within 0-2 days of arrival date: NZD 100 per person amendment fee
Transfer within 3-10 days of arrival date: NZD 50 per person amendment fee.
• Transfer within 11-29 days of arrival date: NZD 50 per room amendment fee.
• Transfer within 30-60 days of arrival date: NZD 50 per booking amendment fee.

Booking Variations
One variation to a booking can be made at no extra charge however every subsequent variation will be at NZD 25.


Variation by Timber Trail Adventures Ltd
Timber Trail Adventures Ltd reserves the right to vary any arrangements at any time up to and following your travel departure date. You will be notified promptly of any such variation.
If the variation results in a substantive change to your arrangements, as determined by Timber Trail Adventures Ltd, you will have option of:
• Continuing with the varied arrangements without a reduction in price;
• Accepting any alternative arrangements offered to you by Timber Trail Adventures, in which case any difference in price will be payable by you or refundable by Timber Trail Adventures Ltd (as applicable);
• Cancelling your booking whereby you will be given a full refund of all amounts paid to Timber Trail Adventures Ltd in respect of such booking, excluding variation fees and additional fees, as applicable, provided that notification of your decision to cancel is received in writing by Timber Trail Adventures Ltd no later than 14 days from the date on which Timber Trail Adventures notified you of the substantive change to your booking.

Insurance
Timber Trail Adventures Ltd strongly recommends that all customers, including domestic travellers, take out travel insurance prior to confirming their booking.

Terms & Conditions
Timber Trail Adventures Ltd (the Operator) makes all arrangements for Timber Trail Lodge Ltd on the condition that it shall not be liable for any sickness, injury, damage, loss, accident, delay or irregularity which may be occasioned, either directly or indirectly, by reason of any defect in any part of its buildings, equipment, operation or service, by weather, by any other cause, or through acts of default of a company or person engaged in hosting guests, or in carrying out arrangements for these activities.

Reservations and payments
Payment in full is required at the time of booking.
Credit card payments will incur a 2% surcharge. If these methods of payment are not suitable, please make contact with us to discuss other options. All payments must be cleared into Timber Trail Adventures Ltd accounts before a booking is deemed confirmed.
If you make payment via a debit to your nominated credit card, the amount debited at the time of booking confirmation will be in New Zealand dollars (inclusive of New Zealand Goods and Services Tax) on the booking page prior to you clicking "make payment" on that page. The deposit may be converted to your local currency by your credit card company. Depending upon the currency of the booking, your credit card's currency and the country in which your card was issued, your credit card provider may impose foreign exchange fees and other fees in accordance with your arrangements with that credit card provider. We are not responsible for currency conversion or any fees imposed by your credit card provider and any questions relating to such matters should be directed to them.
Should any foreign bank account bank fees be incurred by Timber Trail Adventures Ltd in refunding any payment; such fees will be passed directly on to the relevant customer(s).

Medical Conditions
If you or any member of your party have any medical condition, disability or food intolerance at the time of booking and/or at any other time until the completion of your stay with us which may affect your participation, please tell us so we can advise you of the suitability of your plans. If we reasonably feel unable to properly accommodate the particular needs of the person concerned, we must reserve the right to decline the booking.

Participants Responsibility
All guests have a responsibility to abide by the rules and directions of the owners of Timber Trail Lodge. Participants must obey the instructions of the staff at all times. Equally if a guest causes damage to Timber Trail Adventures property or that of any third party we reserve the right to terminate their stay and we will be under no further liability for refunds or in meeting any costs incurred as a result.
By contracting to be our guest, you are expressly assuming all the risks and responsibilities of participation and are, to the maximum extent permitted by law releasing Timber Trail Adventures Ltd, its officers, employees, directors, agents and any other person associated with us, from any liability, claims, loss, damages or expenses (whatsoever and irrespective of whether direct, indirect or consequential) caused by any event including but not limited to: personal injury or death; property loss or damage; acts which may be construed as negligible or accidental; any other loss, damage, suffering, emotional or nervous disorder suffered by you or any other person in relation to this activity booked on or via this website. You accept that you have been advised to obtain adequate travel insurance for all persons named on the booking. You accept that all persons named on the booking are aware of and are bound by the following:
My successors, executors and administrators are bound by the Terms and Conditions;
I agree not to commence any litigation proceedings in any country in relation to the risks and liabilities set out above and to indemnify the Operator against any claims;
I confirm and warrant I suffer no medical conditions, which may affect my ability to participate in the activity;
I consent to receive medical treatment in the case of injury, accident or illness during the activity and to indemnify the Operator against any claims, costs or expenses in respect of the treatment;
I agree that any film, sound, video or other recordings taken of or during the activity will not be used in any production, or advertising without prior consent of the Operator, however the Operator may use such recordings itself at its complete discretion without any prior approval.
I agree to listen to and co-operate with my driver/guide/host, follow their instructions and make sure any children in my care do the same.
I agree that I will not cause offence, distress, danger or annoyance to other participants.

Activities Not Permitted
The consumption of alcohol may only be done under the supervision of the lodge Duty Manager, within the designated areas defined by the lodge alcohol license. Guests may not bring their own alcohol onto the premises. We reserve the right to refuse accommodation and service should any person be in what Timber Trail Lodge staff consider to be a state of intoxication. All people under the age of 18 must be accompanied by an adult or guardian within restricted areas as defined by the alcohol license.

Changes to Terms and Conditions
The Operator reserves the right to change these Terms and Conditions at any time without notifying customers. Any future bookings you may make will be made subject to the Terms and Conditions which apply at the time a booking is made and you are advised to read all the Terms and Conditions carefully on each occasion prior to making a booking.

Governing Law
This website and all component parts, including these Terms and Conditions are governed exclusively by the laws of New Zealand and you agree to submit to the exclusive jurisdiction of the Courts of New Zealand.

Timber Trail Adventures Ltd hopes you always have positive things to say about your stay and our service. However, in the event that you have any complaints, we would like to find out about it immediately. Please bring any comments to our attention to allow us to resolve the matter.
